Enrolment / Bookings / Absences
By sending your details to Magic Kids Club through the Aimy portal, via email or phone serves as proof of your booking/changes.
All bookings and changes through the Aimy portal are pending in our system, waiting for confirmation from the booking team.
Last minute bookings after 2:00 pm, please call/text your centre. Space/s cannot be guaranteed for your child/ren without confirmation.
Booking/s cancelled up until Thursday 12 noon prior to the week in question will incur no fee.
Booking/s cancelled in the same week are charged at normal rate - Holiday Programme and ASC.
Public Holidays - through normal term (ASC) - charged at normal rate for normal hours booked on that day as per booking history.
It is legislated by the Government for WINZ entitlements to be paid out for Public Holidays.
Public Holidays - Holiday Charges - a credit will be issued, so there will be effectively no charge on the day
Fees / Subsidies / Collection
ASC fees are: as from 1st February 2021 $8.40 per hour per child. Holiday Programme fees from April 2021 are 8am-3:30pm ($48), 8am-4:30pm ($53), 8am-5:45pm ($58).
For child/ren collected after 5:45pm (Mac Bay ASC 6:00pm) a late fee of $2 per minute applies.
Late pick up fees are added after booked times at 0.14c/minute ($8.40/hr).
Fees will be charged on closed school days for any reason, (snow days, teacher only days, etc).
Due Dates:. Magic Kids Club has now moved to a concept known as a "zero debt business". This means all accounts need to be kept in credit, or nil balance at all times. If accounts are not at a nil balance or in credit the following may occur. A fee will be added to the amount owing, this being, $25 plus 15% of the balance. Suspension/Cancellation of care could occur for accounts remaining in debt at 14 days. Fortnightly invoices are generated on Monday, with the due date being the Thursday before the booked week. Statements are sent out on a monthly basis
From the 28th March 2020, all clients need to be on direct debit with us.
Applying for a WINZ subsidy? It is the clients responsibility to hand subsidy forms to WINZ, we cannot hand in forms in on a clients behalf.
The full price of care will apply for any period/s that subsidies are not paid out.
Holidays care is to be paid prior to care commencing or in full on invoice, unless you are already on direct debit with Magic Kids Club.
For child/ren suspended from After School Care full fees will be charged for the suspension period, up to the end of the week.
All clients will be given two weeks notification of changes to fees.
Credit Card payments, 2.7% of invoice total will be added as a credit card surcharge.
Fortnightly invoices are created separately for Holiday Care & After School Care.
Late arrival of child/ren due to other commitments, e.g. Drama class, sport activities, charges will be from 3:00 pm as per our booking times. We will need information as to the arrangement details and possible sign offs from the activity person in charge.
Debt Management:. After a period of debt on an account of at least 21 days, accounts will be suspended and care cancelled. A final fee of $25.00 plus 15% on the balance owing will be added, with 5 days to clear the account. If the account is not cleared within this time, an $150.00 interest incurred fee will be added and the account will be referred onto Magic Kids Club debt collection agency Baycorp.
Other Important Points
Parent/caregiver must be contactable during the hours of care and also available to pick up your child/ren at short notice. In case of emergencies or situations where your child/ren needs to be collected from the programme urgently, within 20 minutes of the calling time.
If a person arrives to collect your child/ren ,whose name is not on the authorised pick up list, we are obliged to keep your child/ren in our care until the parent/caregiver has been contacted for consent.

Concerns/complaints or compliments, contact our Administrator, 0224665227,email@example.com as per our procedure.
In the case of a serious accident involving your child/ren, staff will first contact emergency services and then check enrolment forms for any special information, and finally contact parent/caregiver. Depending on the situation, it may be necessary for one of our staff to take your child/ren to the nearest medical facility or administer first aid. By booking with Magic Kids Club, the Programme Manager has permission to arrange any necessary urgent medical treatment at the parent/caregivers cost.
In emergencies or situations where your child/ren needs to be collected from the programme urgently, please be available between programme hours to collect your child/ren within 20 minutes of the calling time.
In a civil emergency, the staff will remain at the centres until all children have been collected wherever possible. We will inform parents/caregivers of closed days, emergency operations via, radio, Facebook and email wherever possible.
The programme has a detailed Child Protection policy, which includes the reporting of any suspected child abuse to Oranga Tamariki (formally Ministry for Vulnerable Children)
Please do not send sick children to our programmes, as we do not have the facilities to care for them. If a child becomes ill during programme hours, parent/caregivers will be called and asked to collect them.
Parent/Caregivers give permission to Magic Kids Club to transport my child/ren as per Magic’s / MSD approved transport policy.
Parent/Caregivers consent to the one supervisor sessions policy being used at any programme my child/ren attends.
Magic Kids Club will ask permission from parent/caregivers in the programme to take pictures and/or videos of child/ren for use on Facebook.
All care will be taken to provide supervision of children attending the programme in accordance with policies and procedures.
Magic Kids Club staff and other children of the programme will not be liable for any loss or damage to personal property (by way of accident, injury, theft or otherwise) arising out of attendance at the programme.
